The Filo Project

The Filo Project offers high quality day care for small groups of older people. The Filo Project supports individuals across Devon and Somerset who are socially isolated, many experiencing symptoms associated with moderate dementia, including memory loss. Each day is provided by a host, and is situated in the intimate setting of the host’s own home. Within the supportive environment of the Filo Project, time and again clients gain confidence becoming revitalised in the process. At a stage of life where many older people find themselves often excluded The Filo Project provides a time and space where clients can engage in valued and valuable social roles and connectedness.

Description

Future Solutions worked with The Filo Project to take existing processes using a combination of separate Excel Spreadsheets and documents in Dropbox and developed a centralised and systematised operational ‘back office’ system for team communications, employee and contractor payroll, invoicing, scheduling and general business administrative tasks.

Libby Price – Director at The Filo Project – met with Rebecca from Future Solutions and explained “It was fine with an Excel spreadsheet to start with. We were using Excel with Dropbox for sharing folders and files and then, that just didn’t really seem to be working because we had that awful clash. I don’t even want to think about it, but in the old Excel spreadsheets, somebody else had changed it and then you had a conflict and you didn’t know which one was right.”

The Podio platform delivers a solution for The Filo Project’s operational logistics, contracts, invoices and schedules along with the assurance of support from the Future Solutions team as a service.  The platform covers Host Group meetings, service and HR contracts, invoicing, expenses, mileage, risk assessments, governance, CRM, sickness and annual leave, task management, reporting, and more.  There are multiple supported user types including central admin team, area coordinators, front line staff, and board of directors: each has access to the information and data that they need for their role(s).

Libby explained to Rebecca: “We needed another system, but we didn’t really know what that was. People talk about booking systems and there are certainly others, but, we wanted something that would connect our organization. We have got a lot of remote workers and they all work from home. So whilst all our structures were grown, so has our all people in numbers and the support team and the head office team and so on. It’s become really quite big and scaled up really, really quite quickly. But we haven’t had the back-office stuff and that’s really helped us beyond, what I put in for the company”.  The Filo Project now have a centralised, scalable solution for their business.
